Dear Alfredo,

I understand from the AMS team that they’re in touch with you to walk through the process together with you. I hope that this will help resolve some of the frustrating situations you’ve been facing - we’re sorry to hear about these as we totally appreciate that your time as y volunteer is precious and limited.

As mentioned by Andre in his message on Friday, there are some known aspects and difficulties that the AMS team is diligently working on to make sure this becomes an improved user experience, please bear with us as the team works through the various steps involved.

For additional questions, please continue to send these to the AMS team at amshelp at isoc.org<mailto:amshelp at isoc.org> for follow-up.

And thanks also to you @Joly for sharing your additional pointers!

Best,

Christine

Joly,

Thank you. This makes my point that the system is NOT as user-friendly as originally advertised.

Hi Alfredo,

I also went through the procedure, and found I was missing the 'bulk send' option. I went back to the 'journey' and re-selected the TR option, and then said yes to 'replace recipients' and submitted. Lo and behold, 'bulk send' showed up.

Joly,

Thank you for the info. As seen in my screenshot I can not search for any Journey. This has been one of the many issues unresolved by AMSHelp.

I have been trying variations, even cloning some of my previous messages. It looks like I managed to reach the template point, but lack the "bulk feature", and more.

I am afraid this platform and the tutorials do not meet my expectations, and as a volunteer, I am spending too much time trying to resolve diverse problems. It is understood that the learning curve is also an issue, but this new AMS is more complex, and still do not completely see the benefits.

As an ISOC-DC CO I have successfully sent an email to all Chapter members using Fonteva, using this slightly simpler set of instructions that Andre shared with me privately.

  1.  Create the Campaign

  * In the Leader Portal, Go to “Chapter Emails”
  *   Select “Email Campaign”
  *   Click “New”
  * Input a “Campaign Name” – mandatory field
  * Input any other information pertaining to the Campaign in the applicable field(s)
  *   Select the “Active” button
  *   Hit “Save”
  *   This creates the campaign.

2. Link the Campaign to a Journey

  *   Click on Chapter Emails
  *   Select “Email Campaign”
  * Select the Campaign you created
  * Under Campaign Messages select “Connect Campaign”
  * In the Journey field, start typing your Chapter name (i.e. Washington) and this will bring up your journey options.
  * Select the journey with the “TR” designation at the end to send a transactional email.
  * NOTE: The journey with no “TR” designation would be a promotional email that goes to chapter members who have not opted out of communications.
  * Click on “Save” -- this will take you to a screen where you create the message you want to send.

3. Add Recipients (For sending a message to all members)

  * Go to “Reports” from the Leader Portal,
  * Click on “Active Chapter Members”
  * This will bring up all Chapter Members
  * Click the check box beside the Chapter Name
  * Click on the dropdown button next to Export (at the top of the screen)
  * Click on “Add to Campaign”
  * Select the Campaign to which the email is being sent
  *   Click on “Submit”

4.   Create the Message

  *   Click on Chapter Emails
  *   Select “Email Campaign”
  * Select the Campaign you created.
  * Click on the preview button (eye) to the right of the subject line.
  *   Select a Subject
  * Hover over the Subject Line box, then select “Click to Edit” to select one of the template subject lines.
  * Hover over the Rich Text Box, then select “Click to Edit” to enter the text of your message.
  * Once done, Click “Save & Close”

5.   Send the Message

  * Take you back to the Email Campaign screen.
  * Under Campaign Messages, select “Bulk Send”
  * It will then show you a preview of your message as well as to whom it will be sent.
  * If you’re ready to go, click on “Send”

Notes
1. one can only select one of three preset subject lines, e.g. "A message from your Chapter Leader" or "A message from your Internet Society Chapter". While this at first may seem awkward, Chapter members will come to be familiar with it.

2. I had a hiccup adding recipients. In step 3, be sure to click 'submit'.

3. The availability of the TR (transactional) recipient list is a big improvement over MemberNova, where 'opt-out' members were essentially unreachable.

One-way Communications:

Chapters can use the leader portal to send one-way communications to all members of their chapter, a subset of those members, or an individual member. Each Chapter has two designated communication officers who can send such emails. The system allows those emails to be sent as either promotional or transactional emails, with each serving a specific purpose. Promotional emails will go to all members except those who have opted out of email communications. Transactional emails will go to all members. For details of what is considered promotional vs transactional, each Chapter should refer to their local jurisdiction as the definition can vary from country to country.

We’ve outlined step-by-step instructions on how to send an email and provided a demonstration video. They can be found on our community training site here<https://communitytraining.internetsociety.org/training/send-email-as-chapter-leader/>.
