[Chapter-delegates] Chapter Membership Cancellation Notifications

Good Day Joly and Chapter Leaders,
Some of the automated notifications you are receiving are those that happen when an ISOC member uses our platform(s) to decline the storage of Personal Data. Specifically, meaning they have checked the box that asks us NOT to store their personal data. As this falls under the “right to be forgotten” and the fact that without personal data, we have no way to maintain a relationship with them, we are cancelling their membership."
Automatic notifications to chapters in the event of an ISOC membership cancellation were in place before now, but due to a past system update they stopped going out - and this was not noticed until recently. Please accept our apologies for this. In any case, there are several reasons you may be receiving these now. Among the reasons below, only the Personal Data storage reason is new:
* Via online channels such as the Membership Management Centre on the AMS Portal, or via the email preference centre, a member may have chosen to NOT allow ISOC to store his/her data, thereby cancelled his/her ISOC membership.
* A user may have had his/her account closed due to an unconfirmed email address. During signup, a user is sent a confirmation email, and after 72 hours is sent a reminder if there has been no response. 7 days later, if there has still been no response, this person’s account is closed.
* A member may have requested cancellation from ISOC staff via email or other method."
As the ISOC by-laws state a member of a chapter has to also be a member of the Society. We are then canceling their membership to the chapter as well. The emails you have received are notification to you that this happened.
A couple other items to remember:
1. We will not completely delete any member’s data yet. We have not selected a date to do this, but have to consider the GDPR effective date a timeline to adhere to. So right now, the records are all still there in the AMS, they are marked as Non-Member.
2. The reason for not deleting anything yet is that we hope through work with the Chapters that we can bring these folks back.
3. To Peter’s note, we do have some tweaking to do on our privacy statement. We are currently working on this right now and plan to post an update with minor tweaks that will clarify some of the items that been brought up.
4. As the new privacy statement will be clarifications, we do not expect to have to ask again for opt-in (per our attorney’s direction).
5. To the question about the opt-in to ISOC’s personal data storage request being applicable to the Chapters; we are digging deeper into this. So far, our work has been about the data that ISOC stores in the AMS and on the systems ISOC Global manages and maintains; as we do not manage and maintain any system that you describe (your own Mailman, AMS, elists, etc) the answer is I’m not sure yet. But am working to get sure very quickly.
