[Chapter-delegates] Data Privacy Policy update

Dear chapter leaders,

Over the past few years, we have worked to address the difficulties many of you experience in communicating with your own chapter members.

Based on what we learned from you through a consultation earlier this year, we have been able to finalize recommended changes to our data privacy policy, as well as the use of data sharing agreements to make communication between chapters and chapter members easier. We have begun implementing the data privacy policy changes within our association management system (AMS). However, as sometimes happens with system changes, we have learned that it would be very costly and take a significant amount of time for our current vendor to implement all the changes required. Considering the plan to refresh and upgrade our AMS in 2022, it does not make sense for us to pursue this work within our current AMS at this time.

Our next steps are to:

  *   publish our updated data privacy policy in the next week. Shortly thereafter, members will be able to adjust their communication preferences and opt out of promotional emails if they wish.
  *   roll out Data Sharing Agreements for chapters and ask you to sign those, starting in January 2022.
  *   wait until we migrate to a new AMS before we can provide chapters with access to chapter member data. You will however still be able to communicate with members who have NOT opted out of promotional email communication. The ability to download your member data will only be available in the new system.
Chapter leaders have already been invited to be part of the requirements gathering and selection process for the new AMS, and again we thank you for that time commitment. We are now in the final stages of the selection of the new system and are aiming for a migration around mid 2022. The Data Sharing Agreements will therefore take effect as we migrate to the new AMS.

We understand this delay is unexpected, but we are on the path to a more suitable and sustainable solution for our all our members and chapters.
