[Chapter-delegates] Final Report on Opt-in Campaign

I agree with Siva. The people who have not opted in yet , have not opted out either. So we cannot assume that they are not interested to continue.

Most of the members atleast in the Indian context who has signed in as ISOC members would be interested to continue.

An analysis of the six chapters in India indicate that the newer chapters such as Mumbai and Trivandrum have a higher opt in than the older four (Bangalore, Chennai, Delhi and Kolkata)

On speaking to a few members we found that they thought that as members they did not have to opt in again.

This exercise made us realize that ISOC and Chapters need to continue the outreach efforts to create awareness among members on the importance of opting in. Perhaps another drive should be launched for the members who have not opted in yet.

Regards,

Amrita

Another way of interpreting this data is to look at the percentage of members who opted out. That is not too many. The absence of response could mean many things. The message was not noticed, was not understood, or worse, didn't make it to the inbox of half the global members.

I think the following membership rules need to be our basis for whatever we do. They allow ISOC to ask people to reconfirm membership. But they do not formally state membership is lost if people do not reconfirm:

2. Membership Renewal and Dues

2.2. Individuals shall re-affirm periodically their ISOC Global and Chapter memberships

Rationale: This serves several purposes: (1) it is a way to make sure that an individual continues to be interested in being an ISOC Global/Chapter member and, (2) to make sure that information on those members is current. This rule shall apply consistently to both ISOC Global and Chapter membership.

2.3. If an individual chooses to renew Chapter membership, it will be assumed that the member also is reaffirming ISOC Global membership.

Rationale: Because ISOC Chapter members also are ISOC Global members (1.1), renewing Chapter membership implies Global membership

2.4. Individuals may choose to reaffirm Global membership and not reaffirm their Chapter membership.

Rationale: Chapter membership is optional, so a Global member may choose to opt-out of Chapter membership.

Thanks Todd, for the reports, the analysis, and the clarifications. This is interesting information.

I agree that we need to plan out the next steps, which in my opinion, should be done in consultation with Chapters, Staff, and the Chapters Advisory Council.

Good Morning Susannah and Delegates.

1.	What is meant by this is that if we were to disposition this data without doing any more outreach (the overnight reference). As you will see further in the document, I recommend that we do more outreach, that we keep trying. But you’ll also see further that at some point that those who have not responded, should be deleted. So, the document has to be taken in its entirety, thus nothing has changed.
2.	You are correct in all aspects of your analysis. There are Chapter Leader’s whose membership is at risk here, and they need to take action before the final disposition of data.
3.	This is not a new topic. We have been talking about replacing Aptify for well over a year. The ChAC was given a presentation by staff many weeks back and we are moving forward with an implementation. I will ask the staff members responsible for the implementation to post wider information on the new system we are implementing.

I hope that helps,

Todd

Hi Todd,

Thank you for this report. A couple of comments:

1. " But what is additionally apparent is what will happen to the total membership numbers, should we choose to cancel the membership of those who didn’t opt-in and delete their data. We would drop from 112,000 to 41,000 members overnight. Additionally, many chapters will see significant decreases, based on our reporting of their opt-in percentages "

I am confused by this. Many of us flagged from the beginning of this campaign that the opt-in method would have a huge impact on both the chapters' and the overall membership numbers so I don't think this is a surprise to anyone.

Further, in all communication that the SF Bay Area Chapter sent out to its members on this - and we sent a lot - we noted that their memberships would be cancelled if they did not opt in as this is was the message that the chapters were receiving from ISOC. If their accounts are now only to be suspended, we probably should have been communicating this to everybody from the outset.

Is ISOC now considering not cancelling the memberships of those who didn't opt in?

What should the Chapters do about the (in our case) thousand-ish people sitting in our database that we are not contacting anymore because we told them their membership would be cancelled after 25 May?

2. 133 Chapter Officers not opted in

This is quite a large number. As I believe that being a member of ISOC is a requirement for being a Chapter Officer (and theoretically your membership will be cancelled if you don't opt in and therefore you will no longer be able to serve as an officer), how will this be handled?

3. New AMS project/Membernova

Can you give more details about this?

Many thanks,

Dear Delegates,

As promised last year, please find attached a data filled report on the results of our opt-in campaign. As a small reminder, we undertook this activity not only to start our GDPR compliance process, but to also touch up compliance in email opt-in and be prepared for our AMS migration this year. The staff has worked on this project for almost a year now and I believe we’ve done everything we could to get these numbers to be as high as they are.

There is a bit more work to do and I’ve outlined some proposed steps for staff to follow going forward. We have yet to decide when we would disposition any records that have not opted in, so there is still opportunity to get folks to opt-in. All mechanisms are still in place to allow opt-in.

Thank you,

Todd
