Here a quick addition to the note below given our separate discussion yesterday, and since this might be on the minds of other Chapter leaders too:
An update on the Opt-in process and the question around what the plan is with the members that have not opted-in before the GDPR came into effect will also be on the agenda of the upcoming full Chapter AC Call and is actually linked to the Association Management System (AMS) replacement process.
We are finalising a timeline for final database clean up in light of the AMS transition and data migration. Chapters will have an opportunity to validate their member data, but more news on that will be shared on the 18 September Chapter Advisory Council Call.

This project was started in late 2016 and the Chapter Advisory Council Steering Committee has been kept in the loop throughout the process. For the last several years there has been dialog with the Chapters with the latest update being a presentation made by Lincoln McNey and Malisa Haley on the Chapter Advisory Council Steering Committee's June 2018 call.

The specifications on which the choice of the new system (MemberNova) were, among many other aspects that needed to be considered, based on an ongoing dialogue with the Chapters. The Chapter part of this project is indeed a significant one even though the use of the tool as such (and thus the need for compatibility) will be much broader than the Chapter community (incl. individual members, organizational members, grants management, event management, etc.).
There were a lot of pieces that had to be brought together throughout this process. However, what ultimately drove the selection of the MemberNova platform was Chapter-based functionality, which, given our priority to support our Chapters, was "weighted" higher than any other area of functionality.
Going forward, the plan is to invite a set of Chapter representatives to do some early testing and provide feedback on the Beta system. We expect this to happen in early in Q4.
- Great. And I see that the planned timeline is to go live in early 2019, so we won't have too long to wait until we can get our hands on an improved system.
An update on the AMS replacement project will also be on the agenda of the next full Chapter Advisory call on 18 September.

Surveys

We do indeed use surveys from time to time to gather input from the members and Chapters to gather feedback. One such survey is the recent "Tools survey" that was shared with all Internet Society members worldwide to gain a better understanding of the tools our Internet Society community uses for communication and how we might use those tools to more effectively serve our members and improve their membership experience. A total of 2038 members responded. The feedback and data collected from this survey will be analyzed to help us identify future communications and engagement tools to implement for our communities going forward.
While this survey was open for all individual members, we can consider a more Chapter specific version of this going forward.
- I think it would be beneficial to both ISOC and the Chapters to conduct yearly Chapter surveys to gauge needs/offer two-way feedback etc in addition to the Chapter evaluations that are already conducted. Perhaps this is something I can discuss further with the ChAC.
Another survey that was just shared with the Chapter leaders earlier today is a survey that asks for feedback and suggestions for improvement of the Internet Society's Beyond the Net funding support. Please do watch out for this message as your feedback is key to making sure these tools are useful and relevant for the Chapters!

Some other opportunities for Chapter volunteers to help shape what we do

This year, we are also working with Chapter volunteers on various other projects, such as:
- The selection of Beyond the Net medium and large project (this is the first time the Selection Committee is made up exclusively by Chapter volunteers)
- The revision of the Chapter Performance Evaluation Criteria: we have a group of 19 Chapter volunteers from all 6 regions who is currently busy revising the set of criteria used for this evaluation.
We hope that this provides some useful answers to the points you brought up and look forward to discussing these as we go along.

- Todd mentioned that a new membership management portal is in the works (AMS project/Membernova). He noted that the ChAC was given a presentation about this and that ISOC is moving ahead with implementation. Where can I find details regarding this? Is this presentation online somewhere? What are the expected implementation timelines? Were the Chapters surveyed about their needs for membership management? Can the ChAC provide more insight (perhaps it was discussed in a ChAC call that I missed)?
- Chapters survey: does ISOC ever conduct surveys to gather feedback, from Chapters, on the support/communication/tools etc it provides to the Chapters?
