Dear all,

Let me build on earlier messages, trainings and pointers on this list by highlighting that each chapter and special interest group (SIG) also has a Chatter Group available and ready to use for easy communications. These groups exist independently of the more complex 1-way email communications functionality.

Chatter Groups:
These groups offer a simple way to share messages, engage and have conversations with all chapter members, with additional features such as a polling functionality. This 2-way communications functionality is available to all chapter & SIG leaders and members.

Here’s how you get there:

  *   Log into the Community Portal<https://community.internetsociety.org/>
  *   Go to your profile (“My Profile” page from the top right corner menu or via your profile picture)
  *   Click on “My Groups” in the lefthand menu: you’ll see the list of chapters and/or special interest groups you’re a member of
  *   Click the green “Access Group” button

It’s that easy to get into your group.

From there, you can:

  *   Post messages to all chapter/SIG members directly from the platform
  *   Find the “Group Email” address under “Group Details” on the righthand side: you can send messages to this email address from your mail client to reach all members of the group. We recommend saving this address in your mail client’s contacts so you don’t have to go looking for it on the platform each time.
  *   “Manage your notification" settings by clicking on the corresponding button just below the group logo. If you wish to receive posts in real time, then please make sure this is set to “Every Post"

If you prefer communicating from your mail client rather than via the Community Portal (AMS), this is not a problem. You can respond to chatter group posts directly from your mail client.

1-way email communications

In addition to the Chatter Groups, there is a much more powerful (and because of that also more complicated) way of sending 1-way email communications. This functionality has been made available to 2 chapter leaders per chapter (chapters need to give them the role of Communications Officers via the Chapter Leader Portal because specific licenses are needed for this).

This functionality was developed based on:

  *   requirements gathered during the selection process, where the participating community representatives asked for more powerful functionality, such as email analytics (delivery, open and bounce rates), which are email marketing / distributed marketing tool functionalities that are not available in simpler emailing systems. This functionality will become available to chapter leaders over the next few months as part of one of the upcoming releases
  *   Chapters asked for the ability to send transactional messages to ALL their members (even if they opted out of promotional emails). This can only be accomplished through a system that allows you to build journeys for both promotional and transactional purposes. This is now possible.
  *   Chapters needed automated email notification options based on member action
  *   Because of the volume of emails sent, ISOC needs a system where its IP reputation can be managed to prevent ISOC or chapter emails from being added to spam lists

I managed to send out a mail to the chapter.  However,  as a user it seems the system has become more confusing, with additional steps and time consuming (off course I do see more options has been added).

Previously using one email ID we could send bulk message to the whole Chapter. Now to send a simple male you have to create a campaign, key in the message, link to the who Chapter data set, etc.

Additionally the campaign money option which is mandatory is quite irrelevant for many of us. Also the currency denominator reflects only few currency therefore its redundant to most nations.

I hope the team while improvising really looks at simplifying things than complicating it for volunteers from across the world.

1. Create the Campaign
In the Leader Portal, Go to “Chapter Emails”
Select “Email Campaign”
Click “New”
Input a “Campaign Name” – mandatory field
Input any other information pertaining to the Campaign in the applicable field(s)
Select the “Active” button
Hit “Save”
This creates the campaign.



2.   Link the Campaign to a Journey
Click on Chapter Emails
Select “Email Campaign”
Select the Campaign you created
Under Campaign Messages select “Connect Campaign”
In the Journey field, start typing your Chapter name (i.e. Washington) and this will bring up your journey options.
Select the journey with the “TR” designation at the end to send a transactional email.
NOTE: The journey with no “TR” designation would be a promotional email that goes to chapter members who have not opted out of communications.
Click on “Save” -- this will take you to a screen where you create the message you want to send.



3.   Add Recipients (For sending a message to all members)
Go to “Reports” from the Leader Portal,
Click on “Active Chapter Members”
This will bring up all Chapter Members
Click the check box beside the Chapter Name
Click on the dropdown button next to Export (at the top of the screen)
Click on “Add to Campaign”
Select the Campaign to which the email is being sent
Click on “Submit”



4.   Create the Message
Click on Chapter Emails
Select “Email Campaign”
Select the Campaign you created.
Click on the preview button (eye) to the right of the subject line.
Select a Subject
Hover over the Subject Line box, then select “Click to Edit” to select one of the template subject lines.
Hover over the Rich Text Box, then select “Click to Edit” to enter the text of your message.
Once done, Click “Save & Close”



5.   Send the Message
Take you back to the Email Campaign screen.
Under Campaign Messages, select “Bulk Send”
It will then show you a preview of your message as well as to whom it will be sent.
If you’re ready to go, click on “Send”

I agree the present system seems to be very confusing.

Chatter is not bad, somewhat akin to whatsapp with email integration, but, by default, members are set to email digest mode, can even reset their option to 'limited', and I suspect members who are set to 'opt-out' may never see it at all. So, it is not a reliable way to reach your chapter membership. Also, content options are limited.

OTOH, an email campaign, with the journey set to TD, will reach every member of your Chapter.

Once an email campaign is set up, it's easy to repost to the same campaign without going through all the set up.

What isn't clear to me, as yet, is, whether this will reach people who have subsequently joined. Possibly not.
